COMMUNICATION POLICY
Effective Date: November 2025
This Official Communication Protocol (“Protocol”) governs all interactions and correspondence with The Clutterless Company, LLC (“Company”). It formally establishes the standards for engagement with clients, prospective clients, and all external parties interacting with our personnel. By accessing our digital platforms or contracting our services, you formally assent to the stipulations and directives contained herein.
1. Scope and Applicability
1.1 Applicability of this Protocol. This Protocol extends to all entities and individuals engaging with The Clutterless Company, including:
-
Contracted Clients: Individuals or legal entities bound by an executed Service Agreement.
-
Prospective Clients: Parties expressing interest in our professional offerings prior to formal contract execution.
-
External Constituents: Visitors, contractors, vendors, and other parties initiating general inquiries.
1.2 Delineation of Authorized Communication. The Company's communication will be directed solely to the individual or legal entity that has formally retained our services, unless explicit, written authorization designating an alternative representative is provided in advance. Discussion of confidential service particulars with any unauthorized third party (e.g., family members, administrative support, or other delegates) necessitates the formal, written consent of the contracted Client.
1.3 Confidentiality and Data Integrity. We uphold the highest commitment to client privacy and confidentiality. All communication shall be managed in strict adherence to relevant data protection statutes, and robust measures are implemented to safeguard proprietary information.
2. Designated Correspondence Channels
2.1 Official Avenues of Communication. All mission-critical and formal communications must utilize the following officially designated channels:
-
Corporate Email: [email protected]
-
Business Telephone Line: 212-814-2984
-
Digital Inquiry Portal: https://www.theclutterlesscompany.com/contact
It is imperative to note that personal mobile numbers, Short Message Service (SMS/texting), or public social media platforms are expressly excluded from the Company’s official channels for service-related correspondence. Utilizing the designated methods ensures professional, traceable, and timely response processing.
2.2 Encryption for Sensitive Data. For the conveyance of highly sensitive or confidential subject matter, the Company will employ encrypted communication methods where technically feasible. All parties are strongly advised to reciprocate this standard when transmitting sensitive documentation to our firm.
2.3 Limitation on Text/SMS Communication. Text/SMS messaging is not recognized as an official channel for critical business functions, including scheduling amendments, contract modifications, or detailed operational directives. SMS messages will be treated as ancillary notifications only. All legally binding instructions, cancellations, or service adjustments must be formally transmitted via email to [email protected] to ensure official acknowledgment and proper documentation.
3. Response Management and Scheduling
3.1 Standard Response Benchmarks. We endeavor to respond to all inquiries based on an assessment of their criticality:
-
Routine Correspondence: A substantive response is typically processed within one (1) to two (2) business days.
-
Critical Operational Requests: We shall address these requests with the utmost priority, generally within the same business day, subject to personnel availability.
To facilitate efficient resolution, all correspondence must be clear, comprehensive, and detail-oriented. Ambiguous or unstructured messages (e.g., "Call me back immediately") may be subject to prioritization deferral.
3.2 Operational Hours of Business. Our standard operational hours are formally established as:
-
Monday–Friday: 9:00 AM to 6:00 PM (Local Time)
Correspondence received outside of these defined hours will be systematically reviewed at the commencement of the subsequent business day. Guaranteed after-hours responses are provided only under explicitly pre-arranged contractual terms.
3.3 Consolidation of Correspondence Frequency. To preserve workflow integrity and professional focus, the Company reserves the prerogative to synthesize multiple sequential communications (e.g., emails, voicemails) received from the same sender within a limited duration into a single, conclusive response. This mechanism guarantees optimal allocation of staff resources while fully addressing client needs.
4. On-Site Engagement Protocols
4.1 Active Service Periods. During on-site appointments or periods of active service delivery by our team, sustained communication must be strictly confined to essential instructions or necessary clarifications pertaining directly to the contracted service scope. Protracted, extraneous, or non-essential dialogues (e.g., requiring unsolicited emotional support, generalized coaching, or discussion of unrelated personal matters) invariably impede operational efficiency. Our paramount objective is the efficient and secure completion of the contracted service.
4.2 Adherence to Workflow Directives. Our personnel are authorized to request a temporary cessation or redirection of any dialogue that substantially disrupts their workflow. Should the team require focused concentration to execute complex tasks, we appreciate your understanding that follow-up may be scheduled for a later time to resume any necessary discussion.
4.3 Zero-Interruption Protocol. To ensure meticulous service finalization and safety checks, Clients are required to observe a Zero-Interruption Protocol during the final sixty (60) minutes of any scheduled appointment. During this dedicated period, our staff will refrain from non-essential conversation, ensuring uncompromised concentration for task finalization, quality assurance, and comprehensive session documentation.
5. Professional Interaction Standards
5.1 Expectation of Professionalism and Decorum. We mandate that all correspondence be conducted with the highest degree of professionalism, courtesy, and mutual respect. Should communication become excessive, repetitive, or otherwise disruptive, the Company reserves the right to implement adjustments to the modalities of interaction.
5.2 Exclusion of Inappropriate Communication. The following conduct is strictly prohibited and shall not be tolerated:
-
Excessive or rapid repetition of calls or emails within condensed timeframes (refer to 3.3)
-
The use of aggressive, intimidating, or coercive language or tonality
-
Hostile, disparaging, or overtly threatening messages
-
Simultaneous cross-channel communication is intended to exert undue pressure or expedite response times
Infraction of these standards may result in the Company limiting communication access, issuing a formal warning, or, in severe cases, effecting immediate service termination without monetary restitution.
6. Formal Documentation and Request Fulfillment
6.1 Written Mandate for Service Amendments. Any modification to contracted services, including, but not limited to, cancellation, rescheduling, or adjustments to the defined scope, must be formally submitted as a written request via email. Only amendments or agreements documented in writing will be deemed valid and acted upon.
6.2 Maintenance of Communication Records. For comprehensive clarity and transactional accountability, the Company meticulously documents all service-related communications. Access to these records may be obtained by the Client through the submission of a formal, written request.
6.3 Communication Audit and Limitation Provision. Should the Company determine, at its sole and absolute discretion, that a Client’s volume or characteristic of communication substantially impairs staff productivity, the Company reserves the authority to initiate a formal Communication Audit. Following this assessment, the Company may institute pre-defined, temporary, or indefinite constraints on the Client's frequency of contact or acceptable communication channels (e.g., restricting contact to a single weekly summary email). The Client will be formally apprised of these imposed limitations in writing.
7. Absolute Zero-Tolerance for Abusive Conduct
7.1 Commitment to Respectful Interaction. The Company enforces an absolute zero-tolerance policy regarding verbal abuse, disrespect, or harassment directed toward our team members. This includes:
-
Shouting or screaming
-
Personal insults or menacing threats
-
Derogatory language (including remarks of a racist, sexist, or discriminatory nature)
-
Any behavior that jeopardizes the emotional or physical safety of our personnel
7.2 Immediate Termination of Engagement. Any client or associated individual engaging in abusive conduct will be subject to the immediate and unequivocal termination of the service relationship. Under such egregious circumstances, no refund will be issued, and the Company reserves the right to permanently restrict future engagement.
7.3 Legal and Regulatory Referral. The Company explicitly reserves the right to remit any correspondence containing credible threats, patterns of harassment, or evidence of illegal activity to the appropriate law enforcement agencies or regulatory authorities for further action.
8. Contingency and Emergency Protocols
8.1 Emergency Operational Situations. In the rare event of an unforeseen operational emergency (e.g., immediate risk of property damage, critical safety concerns), please contact our dedicated emergency line at 212-814-2984. We will promptly evaluate the severity and offer immediate guidance on the required course of action.
8.2 After-Hours Contingency Response. While we strive to provide support for after-hours emergencies, response timeliness may be attenuated depending on the specific nature of the issue and staff availability outside of standard operational hours.
9. Protocol Governance
9.1 Amendments and Revisions. This Protocol is subject to periodic modification and revision by the Company. The most current iteration will be consistently published on our corporate website, and its regular review is strongly encouraged.
9.2 Notification of Substantive Changes. In the event of substantial revisions to this Protocol, notification may be conveyed via email or prominently displayed on our website.
